Scan to Alert (“Scan to Alert,” “we,” “our,” or “us”) is a service operated by SignClops. We are committed to protecting the privacy of our customers (the "Organization"), their staff, and the guests or visitors who interact with our QR codes and service touchpoints.

1. Scope of This Policy

This policy applies to the Scan to Alert ecosystem, including:

• The SignClops Scan to Alert website and administrative dashboard.
• Physical QR codes and associated digital feedback/alert interfaces.
• All data processed via "Alert" submissions or "Smile" positive signals.

This policy does not apply to third-party services linked through our platform (e.g., Google Reviews, Yelp, or external payment gateways), which maintain their own independent privacy practices.

2. Information We Collect

A. Automatic Interaction Data

When a guest or staff member scans a QR code, we collect:

• Contextual Location: The specific area label (e.g., “Terminal B - Restroom 4”).
• Temporal Data: Exact date and time of the interaction.
• Technical Metadata: Device type and approximate geographic region via IP address.
• Security Logs: IP addresses are retained temporarily solely for abuse prevention and firewall integrity.

B. User-Submitted Content

Users may optionally submit a short message or selection. We do not require, nor do we encourage, the submission of personal identifiers (Names, phone numbers) or sensitive personal information (Health, financial data).

3. Purpose of Data Processing

We use the information collected to route real-time alerts, provide aggregated performance analytics, and detect malicious bot activity. Users provide opt-in specifically when logged in and configuring the settings of their administrative dashboard within the shift roster management tool. Message and data rates may apply. Users may opt out at any time by replying STOP or by removing the phone number and/or email.

Usage Restrictions:

• No Surveillance: Scan to Alert is not a tool for individual disciplinary tracking.
• No Profiling: We do not create individual profiles of guests or visitors.
• No Sale of Data: We do not sell, rent, or trade data to third parties or lead generators.

4. Staff and Guest Protections

We believe feedback should be a tool for empowerment. Our system promotes "Positive Signals" (Smiles) to balance traditional maintenance alerts. Guests can report issues without fear of being added to marketing lists or being tracked after they leave the premises.

5. Data Retention & Security

We retain interaction logs only as long as necessary to provide historical trend reporting to our customers. All data in transit is protected via HTTPS/TLS encryption, and access to Organization data is restricted via secure, role-based authentication.
